〜際（に）

Verb dictionary form + 際（に） (利用する際に, 出かける際は). Verb た-form + 際（に） (帰国した際に). Noun + の + 際（に） (お帰りの際, 地震の際); the noun is usually an action or an event, often with お／ご (ご利用の際, お申し込みの際). に can be left out, and は or には is often added: 〜際, 〜際に, 〜際は, 〜際には. As with とき, the dictionary form usually means B is done before or while A is done, and the た-form means B comes after A is done.

• お帰りの際は、忘れ物にご注意ください。

  おかえりのさいは、わすれものにごちゅういください。

  When you leave, please be careful not to leave anything behind.

• 先月、大阪へ出張した際に、新しいお客様にお会いしました。

  せんげつ、おおさかへしゅっちょうしたさいに、あたらしいおきゃくさまにおあいしました。

  When I went on a business trip to Osaka last month, I met a new customer.

• 工場を見学する際は、機械に触らないでください。

  こうじょうをけんがくするさいは、きかいにさわらないでください。

  When you tour the factory, please do not touch the machines.

• こちらの部屋を使う際は、予約が必要ですか。

  こちらのへやをつかうさいは、よやくがひつようですか。

  When using this room, do I need to make a reservation?

• 地震の際は、エレベーターを使わないこと。

  じしんのさいは、エレベーターをつかわないこと。

  In the event of an earthquake, do not use the elevator.

• 前回その会社を訪問した際、部長から詳しい説明を受けた。

  ぜんかいそのかいしゃをほうもんしたさい、ぶちょうからくわしいせつめいをうけた。

  When I visited that company last time, I got a detailed explanation from the department manager.

• 申し込みの際に書いていただいた電話番号に、ご連絡します。

  もうしこみのさいにかいていただいたでんわばんごうに、ごれんらくします。

  We will contact you at the phone number you wrote when you applied.

• Using 際 in casual talk. 昨日コンビニに行った際、先生に会ったよ sounds strange, because 際 is formal and よ is casual. With friends, say 昨日コンビニに行ったとき、先生に会ったよ.
• Using 際 for an age or a state. 子どもの際 and 若い際 are not natural; say 子どものとき and 若いとき. 際 is usually used for an action or an event (出発の際, 使う際).
• Forgetting の after a noun. 利用際に is wrong; say 利用の際に, or use the verb: 利用する際に.

とき (when)

とき is the everyday word, and it works with verbs, adjectives and nouns: 暇なとき、映画を見ます (When I'm free, I watch movies). 際 is a formal word for a particular action or occasion, used in notices and polite speech: お支払いの際は、このカードをお使いください (When paying, please use this card). In a notice, とき is also correct, but 際 sounds more formal. For ages and states (子どものとき, 暇なとき), 際 is usually not used.

場合は (in case / if)

場合は picks one possible case that may or may not happen, and it is not used for a single real event in the past. 際 is the time when something is actually done, so it can also be about the past: 先日ホテルに泊まった際に、かさを忘れてしまいました (When I stayed at the hotel the other day, I left my umbrella there). 泊まった場合に does not fit this real past event. For emergencies in notices, both are common: 火事の際は / 火事の場合は.

In N3 grammar questions, 際 is often tested as the formal word for とき. Look for formal signs such as ご利用, お帰り, 〜てください or 〜ないでください, and check the form: dictionary form, た-form or noun + の. Wrong choices often use 際 with an age or a state, or leave out の. In reading, notices and guides (information-search questions) use phrases like ご利用の際は, お申し込みの際は and 緊急の際は, so read the part before 際 to find which situation the rule is for.
